Services
Bookkeeping, payroll and reporting handled end to end
Six services covering the full month-end cycle for owner-operated businesses. Each one is scoped in writing, priced as a flat monthly fee, and delivered on a published schedule.
Service 01
Monthly bookkeeping
The core engagement. Every bank, credit card and merchant account reconciled to the statement, transactions categorised against a chart of accounts we tidy up with you, and a genuine period close — not a rolling file that never gets locked.
- Bank, credit card, PayPal, Stripe and Square reconciliation
- Transaction categorisation and vendor clean-up
- Accrual or cash basis, whichever your CPA prefers
- Month-end journal entries: prepaids, accruals, depreciation
- Balance sheet account substantiation with supporting schedules
- Period locked and a PDF reporting pack issued

Service 02
Catch-up & clean-up
For files that got away from you. We rebuild historic periods, correct opening balances, clear the junk out of suspense and undeposited funds, and hand you a documented list of every adjustment we made and why.
- Diagnostic review with a written findings memo before any work starts
- Rebuild of up to seven prior years
- Duplicate and missing transaction detection
- Undeposited funds, suspense and owner-equity clean-up
- Fixed-asset and loan amortisation schedules reconstructed
- Adjustment log delivered to you and your tax preparer
Service 03
Payroll support
We do not act as your payroll provider — we operate the one you already have, and we make sure the ledger agrees with it. That distinction matters at year end, when the W-2 totals and the wage expense have to tie out.
- Semi-monthly, bi-weekly or monthly cycle processing in Gusto, ADP or QuickBooks Payroll
- New-hire and termination record setup
- PTO accrual tracking and reconciliation
- Payroll liability account reconciliation each month
- Quarterly 941 and state filing agreement to the ledger
- Year-end W-2 and 1099-NEC preparation support

Service 04
Accounts payable & receivable
Money out and money in, on a schedule. Bills entered and routed to you for approval, payments released on your instruction only, invoices issued the day work completes, and an ageing report that never goes stale.
- Bill capture and coding in Bill.com or Melio
- Two-step approval workflow with you as the only release authority
- Vendor W-9 collection and 1099 tracking through the year
- Customer invoicing, statements and payment application
- Weekly AR ageing with a documented collections cadence
- Vendor and customer record hygiene
Service 05
Reporting & cash flow
A monthly pack built to be read by an owner, not an auditor. Three standard statements, a rolling thirteen-week cash view, budget variance where a budget exists, and a page of written commentary on what actually changed.
- Profit and loss with prior-period and prior-year comparison
- Balance sheet with substantiated balances
- Statement of cash flows and a 13-week rolling forecast
- Departmental, location or class-level reporting
- Budget versus actual variance analysis
- One-page written commentary plus a 20-minute review call

Service 06
Year-end tax-ready books
January should be quiet. We deliver your preparer an adjusted trial balance, the supporting schedules they always ask for, and a contact who answers their questions directly so you are not stuck relaying messages.
- Adjusted trial balance and general ledger export
- Fixed-asset register with current-year additions and disposals
- Loan and lease schedules with interest split out
- 1099-NEC and 1099-MISC preparation and e-filing support
- Direct liaison with your CPA or enrolled agent
- Post-filing entry of your preparer's closing adjustments
Service questions
Scope, tools and boundaries
Can I pick just one service?
Yes, though most engagements include monthly bookkeeping as the base because payroll and payables reconciliation depend on a maintained ledger. Clean-up work is regularly done as a one-off.
Which software do you work in?
QuickBooks Online and Xero for the ledger; Gusto, ADP and QuickBooks Payroll for payroll; Bill.com and Melio for payables; Expensify for expenses. If you use something else, tell us — we will say honestly whether we can support it well.
Do you take over an existing file or start fresh?
Almost always we take over the existing file. Starting fresh loses history your CPA may need. If the file is genuinely unrecoverable we will say so and quote a rebuild.
What is not included?
Tax return preparation and filing, audit or attest work, CFO advisory retainers, and legal or investment advice. We refer those out and are happy to introduce you.
Not sure which of these you actually need?
Send us your last closed month and we will tell you plainly what is missing. Most owners need less than they expect.
